Solo Agent Daily Pipeline Card
Real estate income is lumpy because the lead-gen is lumpy. This card is the boring daily rhythm that smooths it out — the stuff that's easy to skip on a closing day and brutal to have skipped 60 days later when the pipeline's empty. Run it daily. The forms I build are designed to drop into exactly this routine.
The non-negotiable hour (do first)
- 5 new conversations (call, text, or in person)
- 5 follow-ups with people already in your pipeline
- 1 past client touched — no ask, just contact
- Update the pipeline tracker before you do anything else
Follow-up cadence (so nobody leaks)
- New lead: contact within 5 minutes, then day 1, 3, 7, 14
- Active buyer/seller: weekly check-in minimum
- Past client: every 90 days, value not pitch
- Sphere: a real touch quarterly — they forget you fast
The five numbers to track daily
- New leads added
- Conversations had
- Appointments set
- Active listings + pending
- Closings scheduled this month
End-of-day reset (2 minutes)
- Tomorrow's top 3 written down tonight
- Pipeline tracker reconciled
- Any contract deadlines flagged for tomorrow
- One thing that worked today — note it, repeat it
How to use it
- The non-negotiable hour comes before email. Email is other people's priorities.
- Lead response time is the whole game — 5 minutes vs. 30 minutes is a different conversion business.
- You can't manage what you don't count. The five numbers, daily, no exceptions.
